The Eden Park Residents Association, Inc. (“EPRA”) is an incorporated society that exists to represent the views of its members. Your data belongs to you and we take your privacy seriously. Where the terms “we”, “our” or “us” are used in this policy, they refer to the EPRA.
What this policy covers:
This privacy policy applies to this website and personal information collected by the EPRA, either through this website or by other means, such as through face to face or email membership applications, submissions or petitions. This policy explains how the EPRA collects ‘personal information’, how that information is stored and handled, and what rights you have in relation to that information, and retrieving or deleting your information.
By making use of this website or providing the EPRA with your personal information, you are deemed to have accepted this privacy policy and authorise us to collect, store and use your information in the ways outlined in this policy.
What is ‘personal information’:
‘Personal information’ is information about an identifiable individual. Personal information that the EPRA may collect from you includes your name, address, telephone number, email address, occupation and the date upon which you became a member of the EPRA.
Collection and use of personal information:
Personal information is generally collected directly from you. The EPRA does not collect personal information from you unless you voluntarily choose to give it to us via our website, over email, a phone call, petitions, submissions, by signing up as a member or another face-to-face communication, or by post.
We use personal information provided to us for the purposes for which it is provided, and for related purposes relevant to the activities of the EPRA. This might include (but is not limited to):
- Maintaining and administering your membership of the EPRA
- Organising meetings of members
- Maintaining our email distribution list and communicating our news and important items of interest to you (if you have elected to hear from us. You can opt out at any time)
- Surveying our members on issues affecting Eden Park and its neighbourhood
- Lobbying local or central government (or agencies thereof) for the purposes of the submission or petition you have signed up to
- Generating or collecting statistical information from our membership database to create reports or graphics to support submissions or to otherwise publically represent the views of our members. These statistics or reports will not disclose any identifying information about specific EPRA members.
We do not sell or rent your personal information to any person or entity.
Disclosure
Trusted third party service providers engaged by the EPRA may have access to a person’s personal information for the specific purpose of performing tasks on the EPRA’s behalf (e.g. database management, data storage).
A person’s personal information may be provided to the relevant law enforcement agency if the EPRA believes in good faith that disclosure is reasonably required to comply with a law or compulsory legal request, or to protect the safety of any person from a serious and imminent threat to life or health.
How we store personal information:
The EPRA stores personal information on databases, web servers, local devices, computers and on cloud storage services. Some of these are within New Zealand and some may be provided by overseas entities, or copies are stored on overseas services. These may be provided by partner providers who operate their own privacy policies and data security policies that the EPRA has decided are sufficient adequate and reliable as an enterprise class data storage facility. The EPRA, however, accepts no liability for the performance, security and reliability of such entities.
By providing us with your personal information, you consent to the EPRA transferring information across national borders for processing and storage purposes in accordance with this policy. All such transfers are conducted in compliance with applicable laws. Your rights to access and correct your personal information are not affected by it being stored on servers located in other countries.
Cookies and automatic recall of web data:
Our website uses cookies. A cookie is an element of data that our site can send to your browser, which may then be stored on your hard drive or device. Our website uses cookies to customise certain options and to make it easier for registered users to engage and complete online forms without re-entering data, and to improve the experience of regular visitors. You may set your web browser to notify you when you receive a cookie, or to disable cookies altogether.
Google Analytics
We may gather information automatically about visits to our website to help us maintain and improve its design, and to evaluate traffic statistics, such as the times of day and days of week at which we see peak traffic, and to assess the relative popularity of different areas of the site. We use Google Analytics to gather this data and analyse it. Google Analytics collects information about the date and time in which our website was accessed, and may also track a visitor’s movement within the site, but does not collect personal information about the visitor. You can install the “Google Analytics Opt-out Browser Add-on” to prevent information about your visits to our website being sent to Google Analytics.
We protect your information online and offline:
While we use SSL encryption to protect sensitive information online, we also protect user-information that may be stored locally or offline. All of your information is restricted and only individuals who need the information to perform a specific job (for example, our officers or committee members) are granted access to personally identifiable information or information that might be sensitive in nature.
Your rights – updating, requesting or deleting information
You have the right to know what information the EPRA holds about you, and to correct it in case of error or to have it deleted if you wish.
These obligations are provided in line with the Privacy Act 1993, but do not supersede our obligations for information retention under other applicable New Zealand legislation, such as the Financial Reporting Act 2013.

Updates to EPRA’s privacy policy
The ERPA reserves the right to update this policy from time to time. We do not generally advise our website users or members of updates to this policy, therefore we encourage you to revisit this page periodically to ensure you are comfortable with our current policy. If we make material changes to this policy, we will notify our members by email or by putting a notice on our website.
